Recruitment Privacy Policy

This document is applicable for all Arηs legal entities composing the Arηs Group (see below).

By applying for a position at our company, you consent to the collection, processing, and sharing of your personal information as outlined in this policy.
For details on how Arηs protects personal information for other purposes, please refer to the Arηs Group Privacy Policy.

1. Information We Collect

We collect and process various types of personal information during the recruitment process, including but not limited to:

  • Contact information (name, address, email, phone number);

  • Data you submit including resume, cover letter, and other application materials;

  • Data generated by interviewers and recruiters during the process;

  • Data requested to you during the recruitment process;

  • Professional and educational background;

  • References and recommendations;

  • Documentation required under immigration laws.

We may also receive information from job-search related websites and professional firms, former employers and referral participating in the job recruitment process.

When posting interest in our job offers, you have no obligation to provide any information requested but this may result in not being able to continue the recruitment process.

2. How We Use Your Information

We use your personal information for the following purposes:

  • Communicating with you throughout the recruitment process;

  • Assessing your suitability for the position;

  • Conducting interviews and assessments;

  • Verifying your qualifications and background;

  • Complying with legal obligations.

We also intend to retain and process the data gathered with a view to propose you further job opportunities you might be interested in. We will not use your data for processing that are incompatible with the purposes listed above, unless it is required or authorised by law, or it is in your own vital interest. We do not implement automated decision concerning candidate selection and hiring decisions.

We based this processing on our legitimate interests of ensuring that we recruit the appropriate employees for current or future roles. In taking this approach, we did balance your interests, rights and freedoms against our interests, considering the purposes of the processing, the security of your data and existing relationship with you. We are of the opinion that it does not materially impact any of your interests. In addition, you have the right to object to this processing and request deletion of your personal data at any time.

3. Data Sharing

In general, sharing of your personal data will be limited to employees of companies of the Arhs Group who need it for the purposes described above. This may include personnel in recruitment, human resources, interviewers and potential future managers.

Your personal information may also be shared with our customers to propose your services in relation with the job offer. We will only share the information necessary for this evaluation, and our customers are bound by confidentiality and data protection agreements.

Furthermore, Arηs may also share personal information with other third parties. Any third party to whom your personal data is disclosed are required to protect the privacy and security of your personal information in compliance with data protection laws.

The following categories of third parties may have access to your personal data:

  • Processors and sub-processors such as IT suppliers (including cloud services providers) such as SmartRecruiters and Microsoft Office 365.

  • Arηs companies;

  • Arηs external counsels, agents or auditors;

  • Oversight bodies or public authorities.


Arηs will not transfer any personal data outside the European Union otherwise that:

  • To countries which provide an adequate level of protection for personal data as decided by the European Commission or:

  • To recipients under a suitable agreement which contains the legal requirements for such transfer. Copy of the applicable safeguards may be requested to the Arηs Data Protection Officer.

4. Data Retention

We retain your personal information for as long as necessary for the recruitment process and as required by applicable laws. If your application is successful, your information will become part of your employment record.
We may also retain your personal information in order to consider you for other job offers that may open in the future. Arhs may retain this personal information for as long as allowed by applicable law or when you object to this processing.

5. Information Security

We are committed to safeguarding your privacy and ensuring transparency in our data processing activities. We implement appropriate technical and organizational measures to protect your personal information from unauthorized access, disclosure, alteration, and destruction.

6. Your Rights

To the extent permitted by the laws, you may have the right, to:

  • Access and obtain a copy of your personal information;

  • Correct inaccuracies in your personal information;

  • Object to the processing of your personal data;

  • Withdraw consent at any time (where applicable);

  • Request the deletion of your personal information.

Should the processing be exclusively based on your consent, you shall have the right to withdraw it at any time, without affecting the lawfulness of the processing based on your consent before such withdrawal.
